Dr. Brent Course Terms and Conditions​

What are your rights as a student and our policies regarding courses?

Dr. Brent LLC has established clear policies regarding course, event, and program registration, cancellations, transfers, and related matters. These policies are designed to ensure fairness, consistency, and a high-quality learning experience for all students. We encourage you to review them carefully so you understand how the program is structured and what to expect throughout your enrollment.

REGISTRATION POLICIES

To ensure accurate communication and smooth processing, the following registration guidelines apply to all courses, events, and programs offered by Dr. Brent LLC.

  • A valid email address is required for all registrations, as this is our primary method of communication regarding your enrollment.
  • Registrations are considered pending until payment has been successfully processed. Processing typically takes 2–5 business days. If payment is made by check, processing begins once the check is received.
  • Once registration is complete, students will be able to view their registration details online.
  • A $25 administrative fee will be charged for any returned checks or declined credit or debit card payments.
  • Students are responsible for making their own travel, lodging, and transportation arrangements. Dr. Brent LLC is not responsible for any hotel, airline, or related travel expenses.

ONLINE COURSE ACCESS POLICY

Pathokinesiology Certification:

We are committed to providing students with ample time and flexibility to engage with course materials while maintaining the integrity of our educational content.

  • Unless otherwise stated, students receive twelve (12) months of unlimited access to the online learning management system.
  • Upon graduation, students are provided with an additional three (3) months of unlimited access to support continued review and integration of the material.
  • After this access period concludes, continued access may be available through a minimal subscription fee, subject to availability and program terms at that time.

It is the responsibility of the student to complete and download all completion certificates before the 15-month access period included in your tuition. If a student requests a certificate after the 15-month access period, $25 fee will be charged.

REFUND POLICY

Pathokinesiology Certification:

We understand that enrolling in a professional certification program is a meaningful commitment of time, energy, and financial resources. The following refund policy is designed to be transparent and fair, while allowing us to sustain the quality and integrity of our programs.

All cancellation requests must be submitted in writing via email to support@polestarpilates.com with the subject line: “Refund Request – Dr. Brent.”

Initial Enrollment Protection

Students may cancel their enrollment within three (3) business days of their initial payment and receive a full refund of all monies paid.

Before Course Access Is Granted

If a written cancellation request is received before access to course materials is granted, refunds will be issued as follows:

  • 30 days or more notice:
    100% refund, minus a $200 non-refundable administrative fee
  • Less than 30 days notice:
    50% refund, minus a $200 non-refundable administrative fee

The administrative fee helps cover enrollment processing, planning, and program preparation costs that begin immediately upon registration.

After Course Access Is Granted

Once access to course materials has been provided—typically on January 1, April 1, July 1, or October 1—the program is considered to have commenced. At this point:

  • No refunds are available
  • Students enrolled in a payment plan remain responsible for the full balance of tuition

This policy reflects the immediate availability of proprietary educational content and resources upon program access.

Refund Processing

Approved refunds are typically processed within thirty (30) days of receiving the student’s written cancellation or withdrawal request.

CHANGE REQUESTS

Pathokinesiology Certification:

We recognize that professional and personal circumstances can evolve, and in some cases students may need to adjust the timing of their participation. A Change Request allows a student to request a change in cohort or to postpone their enrollment to a future cohort, subject to the guidelines below.

All change requests must be submitted in writing via email to support@polestarpilates.com with the subject line:
“Change Request – Dr. Brent.”

Change Request Guidelines

  • Requests must be received at least 30 days before access to course materials is granted.
  • A $50 administrative change fee applies to all change requests.
  • If approved, only one (1) change request is permitted per student.
  • No refunds are available for approved change requests.
  • Approval of change requests is not guaranteed and is subject to availability and program capacity.
  • Dr. Brent LLC reserves the right to postpone or cancel any course at its discretion.

Change requests submitted after course access has been granted cannot be accommodated.

LEAVE OF ABSENCE POLICY


Pathokinesiology Certification:

We understand that life events—such as personal, family, health, or other unforeseen circumstances—may temporarily affect a student’s ability to continue in the program. A Leave of Absence (“Leave”) allows an enrolled student to pause participation with the intention of returning at a later date, subject to approval and the guidelines below.

All leave requests must be submitted in writing via email to support@polestarpilates.com with the subject line: “Leave of Absence Request – Dr. Brent.”

Leave of Absence Guidelines

  • Leave requests are reviewed on a case-by-case basis and are not automatically approved.
  • Only one (1) leave of absence is permitted per student.
  • Students are expected to return from an approved Leave within:
    • One (1) year, or
    • Eighteen (18) months in cases of pregnancy
  • Dr. Brent LLC reserves the right to request medical attestation in cases involving injury or illness.
  • Failure to communicate circumstances in a timely manner may impact eligibility for a Leave.

Tuition and Enrollment During Leave

  • If tuition was paid in full, all payments are retained and the student may resume the program with the next available cohort.
  • If the student is enrolled in an installment plan, payments will continue as scheduled during the Leave.
  • Any tuition increases that occur during the Leave will not affect the student’s original quoted tuition.
  • No refunds are provided for approved leaves of absence.

A NOTE ON SHARED RESPONSIBILITY

Our change and leave policies are designed to provide a degree of flexibility while ensuring program continuity and fairness to all students and faculty. We strongly encourage students to communicate early and openly if circumstances arise—we are committed to working with you within the structure of these policies whenever possible.

PROGRAM CANCELLATION POLICY

Pathokinesiology Certification:

While we make every effort to deliver all scheduled courses and certifications as planned, there may be rare circumstances in which adjustments are necessary. Dr. Brent LLC reserves the right to postpone, reschedule, modify, or cancel a certification or any portion thereof.

If Dr. Brent LLC is unable to provide a certification or portion of a certification due to circumstances beyond our control—including, but not limited to, severe weather, contagious diseases, epidemics, pandemics, government restrictions, travel limitations, civil unrest, or other unforeseen events Dr. Brent LLC may, at its sole discretion, take one of the following actions:

  1. Reschedule the certification or affected portion at no additional cost to the student.
    • In this instance, students are not eligible for refunds.
  2. Cancel the certification or affected portion without rescheduling or providing an online replacement.
    • In this instance, students will receive a full refund of all fees paid for the cancelled certification or portion thereof.

These measures allow us to respond responsibly to events outside our control while maintaining program integrity and student safety.

TUITION COLLECTION

Tuition payments are processed through our secure online storefront to ensure accuracy and timely recordkeeping.

  • Students are responsible for ensuring that payment information is current and that sufficient funds are available at the time of processing.
  • A $25 administrative fee will be charged for any declined credit or debit card payment due to insufficient funds.
  • Students enrolled in installment plans remain responsible for payments according to the agreed schedule, regardless of participation status, unless otherwise stated in these policies.

THE INFORMATION, SOFTWARE, PRODUCTS, AND SERVICES INCLUDED IN OR AVAILABLE THROUGH THE SITES MAY INCLUDE INACCURACIES OR TYPOGRAPHICAL ERRORS. CHANGES ARE PERIODICALLY ADDED TO THE INFORMATION HEREIN. POLESTAR PILATES EDUCATION AND/OR ITS SUPPLIERS MAY MAKE IMPROVEMENTS AND/OR CHANGES IN THE SITES AT ANY TIME. ADVICE RECEIVED VIA THE SITES SHOULD NOT BE RELIED UPON FOR PERSONAL, MEDICAL, LEGAL OR FINANCIAL DECISIONS AND YOU SHOULD CONSULT AN APPROPRIATE PROFESSIONAL FOR SPECIFIC ADVICE TAILORED TO YOUR SITUATION.

DR. BRENT LLC AND/OR ITS SUPPLIERS MAKE NO REPRESENTATIONS ABOUT THE SUITABILITY, RELIABILITY, AVAILABILITY, TIMELINESS, AND ACCURACY OF THE INFORMATION, SOFTWARE, PRODUCTS, SERVICES AND RELATED GRAPHICS CONTAINED ON THE SITES FOR ANY PURPOSE. TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ALL SUCH INFORMATION, SOFTWARE, PRODUCTS, SERVICES AND RELATED GRAPHICS ARE PROVIDED “AS IS” WITHOUT WARRANTY OR CONDITION OF ANY KIND. DR.
